The short version

Most service businesses outgrow their spreadsheets two years before they admit it. The cost of staying on spreadsheets is the cost of every hour your owner or dispatcher spends doing data entry. We have shipped three platforms that replaced this exact stack in three different verticals. The sections below show how we approach it.

What we build for service businesses

Six operational surfaces, each one shipped at least once for a real service business.

Quoting + proposals

Configurable line items, multi-tier pricing, approval flows, e-signature, conversion-to-invoice. Our security-industry quoting platform handles tiered service packages with site-specific pricing.

Scheduling + dispatch

Calendar views, route optimization for field crews, capacity planning, automated customer notifications. Real-time updates when jobs run long or get rescheduled.

Invoicing + billing

Recurring billing for managed services, milestone billing for projects, late-payment automation, QuickBooks sync. Both subscription and transactional models.

CRM + customer portal

Customer profiles, communication history, document storage, customer-facing portal for invoices and service requests. Our business-management platform serves freelancers and small business owners managing client relationships end to end.

Tax + accounting workflow

Document intake, client task tracking, deadline management, e-filing integrations. Our tax-management automation platform replaces a spreadsheet + email stack for tax-services firms.

Multi-tenant vertical SaaS

When your service business has built tooling other businesses in your vertical want to buy. Org-level isolation, tenant-branded UI, separate billing accounts. We have shipped this pattern multiple times.

Why DesignKey for professional services

What we believe about building operations software

01

Three production professional-services platforms shipped

Security-industry quoting, freelance / small-business management, tax-services automation. Three different verticals, three different stakeholder mixes, same underlying playbook for replacing spreadsheet operations.

02

We will tell you when off-the-shelf is the right answer

We have referred prospects to Jobber, ServiceTitan, Housecall Pro, QuickBooks, and HubSpot when the workflow matched. Bigger contract is not a reason to pretend custom is the right call when it is not.

03

Source-of-truth design before any sync code

Most service-business software fails at the integration layer because two systems both think they own the customer record. We map source-of-truth up front and write conflict-resolution rules before we wire the sync.

04

Offline-first field surface where it matters

Field technicians lose signal in basements and on remote sites. We design field apps as offline-first with explicit sync states because the alternative is a screen of "loading" your team curses at.

05

Tampa rates, US-time-zone delivery

Roughly 30 to 40 percent below coastal vertical-SaaS specialists for equivalent senior engineering, with full continental-US time-zone overlap.

06

Operator-first thinking

Service businesses do not have product managers. The owner runs ops. The dispatcher runs the day. The bookkeeper runs the month. We design the tooling for those people directly, not for an idealized PM persona.

Case studies

Three operations platforms we shipped

Security-industry quoting automation in Tampa. Business management for freelancers and small businesses in Florida. Tax workflow automation in St. Louis. Different verticals, same underlying playbook.

How a service-business engagement starts

Three steps before any code so we are replacing the right workflows in the right order.

  1. 1

    Workflow inventory

We sit down with your operators (not just the owner) and map every workflow on a whiteboard. Sales, intake, scheduling, delivery, billing, support, retention. We rank them by hours-per-week-burned and revenue-leakage. The first build replaces the highest-cost workflow, not the most visible one.

  2. 2

    Off-the-shelf check

For each workflow on the inventory, we check the major off-the-shelf tools (Jobber, ServiceTitan, Housecall Pro, QuickBooks, HubSpot). If 80 percent of your workflow matches the tool, we recommend that path and explain how to wire it up. We only recommend custom for the workflows that genuinely do not fit a standard tool.

  3. 3

    Source-of-truth map

Where does the customer record live? Where does the invoice live? Where do scheduling decisions originate? Most operations software fails because two systems both think they own the data. We design the source-of-truth and conflict-resolution rules before any sync code is written.

FAQ

Professional services automation questions

What service-business owners and operators ask when they bring us in to replace a spreadsheet stack with real software.

Outgrown your spreadsheet stack?

No sales pitch. A working session on your workflow inventory, off-the-shelf options, and source-of-truth design. We tell you when custom is the wrong answer.
