RiVan is a financial management platform built to change how businesses plan, track, and act on financial data. The client came to DesignKey with a clear but ambitious brief: build a working MVP that could serve businesses ranging from small teams to mid-market companies, without sacrificing the depth that finance-focused users demand.

The financial management software space is crowded, but most tools skew toward accountants rather than operators. RiVan's founders identified a real gap - business owners and finance leads who needed a platform that spoke plain language while still producing audit-ready outputs. That framing shaped every product decision from day one.

/context

RiVan needed more than a dashboard with charts. They needed a system capable of ingesting data from multiple sources, running planning algorithms against that data, and surfacing actionable insights to users who might not have a finance background. At the same time, the platform had to scale: the MVP had to be architected so that the features planned for v2 and v3 could be added without refactoring the core. That tension - between delivering a focused MVP quickly and building a foundation that doesn't collapse under future scope - was the central engineering challenge of the project.

Objectives

The engagement had five interlocking goals. Getting any one of them right without the others would have produced a weaker product, so the team tracked them together throughout the project.

/process

1. Discovery Phase

Discovery sessions involved RiVan's founders, their early customer advisors, and a competitive audit of the tools those customers had previously used or rejected. The recurring finding: most existing tools required too much manual data entry or produced reports disconnected from the decisions users actually needed to make. The sessions produced a feature priority matrix - a ranked list of capabilities mapped to the user stories justifying them - which became the source of truth for scope decisions throughout development.

2. Design Phase

Wireframing started with low-fidelity sketches focused on the core workflow: connecting a data source, viewing a financial summary, generating a plan or report. Once validated, those moved into higher-fidelity Figma prototypes. The key design decision was how to handle complexity for different user types: the solution was a layered interface where the default view surfaces the most common metrics and advanced controls are accessible but out of the way - reducing cognitive load for new users without limiting experienced ones.

3. Development Phase

The frontend and backend were built in parallel using two-week agile sprints. The frontend used a component-based architecture for straightforward widget extension; the backend prioritized data pipeline reliability, ensuring integrations handled edge cases gracefully. Security was treated as first-class: role-based access controls, encryption at rest and in transit, and a least-privilege collaboration model built in from the start.

4. Testing and Deployment

Testing covered functional verification, cross-device layout, and access control validation. The platform was deployed on AWS, using managed services where they reduced operational overhead.

5. Continuous Development

DesignKey maintained a post-launch support and iteration contract with RiVan. Several of the highest-impact improvements in the first three months came directly from observing real user behavior - friction points that prototype testing had not fully surfaced.

Financial Dashboard

The dashboard shows real-time income, expense, and investment positions in a single configurable view. Users can customize which metrics appear and in what order - important because a service business tracks utilization and margin differently than a product business tracking inventory turns. The layout accommodates both without requiring separate product variants.

Automated Financial Planning

Rather than asking users to build financial plans from scratch, the platform generates a baseline plan from existing data - then lets users adjust assumptions and see how those adjustments ripple through the forecast. The algorithm accounts for seasonality, historical growth rates, and user-defined targets. For users without a finance background, this turns planning from a blank-page problem into an editing problem.

Integration with Financial Tools

The platform connects to common accounting and banking data sources, pulling in transaction data and reconciling it automatically. This eliminated the most common friction point in financial workflows - re-entering data that already exists somewhere else.

Reporting and Analytics

The reporting module generates structured financial reports (P&L, cash flow, balance sheet summaries) on demand or on a schedule, formatted for sharing with stakeholders or auditors rather than as raw data export.

Collaboration Tools

Multi-user support with granular permissions lets a business owner give an accountant access to the reporting module without exposing planning controls, or invite a department head to manage their area's budget without seeing company-wide figures. Activity tracking logs who changed what and when - a requirement from RiVan's enterprise-adjacent target customers.

/challenges & solutions

Aligning User Needs with Technical Constraints

The discovery sessions produced a long wishlist. The challenge was not identifying valuable features - it was making honest trade-offs about what could be built well within the MVP timeline versus what needed to wait. The team used the feature priority matrix from discovery to make those calls objectively, ensuring that every de-scoped feature was logged and explained rather than quietly dropped.

Scalability within MVP Timeline

Building for scale while shipping quickly requires discipline about where to invest in future-proofing and where to keep things simple. The team drew that line carefully: the data model, access control system, and API architecture were built to production-grade standards from the start. The UI, on the other hand, used a component library that could be extended iteratively without architectural changes. This meant the platform could grow in scope without accumulating technical debt in the parts that are hardest to refactor later.

Additional connectors for project management platforms and ERP systems, allowing RiVan to sit closer to the center of a business's operational data rather than operating as a standalone finance tool.

/conclusion

The RiVan project demonstrates what happens when discovery is treated as a genuine investment rather than a formality. The decisions made in the first three weeks - about architecture, about which features to prioritize, about how to balance simplicity with depth - determined the quality of every deliverable that followed. The platform launched on schedule, performed at scale, and achieved a user satisfaction rate that left little ambiguity about whether the product was solving real problems. The ongoing engagement has allowed the platform to keep improving, which is exactly the model RiVan's founders envisioned from the start.
